Like in any business, it’s important to protect yourself and your personal assets from liability. Most importantly, you need to separate your expenses. Ashley gives some great tips for how to set up separate personal and business accounts. Have a separate account for your business and pay yourself and your business expenses out of that account. If you have to have a credit card for your business in your own name instead of your business’s name (for credit reasons) make sure that you treat it only as a business account. Ashley advises small businesses to make sure they have access to people on their team to set them up for success. Here’s a run down of the help you’ll need: You need a lawyer to make sure that your doing everything properly and that you’re incorporated. There are a few different tax classifications to consider. You need a CPA. Knowing that it’s easier to do things correctly from the start than it would be to fix it later on, Ashley and Kara encourage you to get assistance with your taxes if you can. That being said, if you have found yourself in trouble with the IRS here are two solid tips: 1. File your taxes even if you don’t have the money to pay them. The reason being that you’ll be penalized more for not filing than you’ll be for owing. 2. Try to pay your taxes moving forward and the IRS will be more willing to help you settle your past balance. How To Plan An Event For Your Real Estate Business (and a FREE checklist)

By: Kara Macdonald October 9, 2018 Realtors, are you having regular events? If you aren’t, you are missing opportunities. Whether it’s an open house, a client appreciation event or a happy hour, you should be having some kind of consistent event to connect with your community and clients. I have held hundreds of events over the past 5 ½ years. In this post, I will explain my process. Step One: Decide what kind of event you want to have. Some ideas include movie nights, autumn festivals, happy hours, homebuyer seminars and open houses. Step Two: Pick a date & time. Keep in mind you almost always need 30 days to promote (except for open houses). Step Three: Decide on a budget. Step Four: Decide on a venue (this will usually depend on the budget). Step Five: Decide if you want a photographer. You can hire an amateur photographer for about $100/hour. Being able to add the event pictures to Facebook and other social media channels afterwards is priceless. Hopefully, you can tag most of the people that attend, which gets you so much extra exposure. This expense is non negotiable for me. Step Six: Identify sponsors. As an agent, you refer a lot of business to a lot of different companies. As your title partners, lender partners and home inspectors to chip in. Be sure to keep your sponsors in the loop at all times. If it makes sense, ask them to help you promote the event. Step Seven: Decide whom you are going to invite. Step Eight: Decide how you are going to invite people. If you do an electronic invitation, you can use a service like eventbrite, evite or punchbowl. If you have a larger budget, you can create a postcard or invitations to mail. You should also promote your event on social media. In addition to sending an electronic invitation out to your database, create a Facebook Event (you can insert the link to evite or eventbrite into the Facebook Event so people are redirected from Facebook and all your registrants are in one place) and share it regularly on Facebook, Instagram, anywhere you are active online. Step Nine: Decide if you need any marketing materials. Think through the event. Picture yourself there. I have a stand up banner that I invested in about three years ago. The cost was approximately $475.00. Perhaps you want to give people a parting gift of some kind. The last thing you want is to realize you need something three days before the event and it’s too late or it will cost you three times as much to get it rushed. Step Ten: Make a list for “other” items. Depending on what kind of event you are having, some things you might need are name tags, pens, food (perishable and non-perishable), balloons, utensils, napkins, plates, drinks (alcoholic and non-alcoholic), games for kids, games for adults and brochures. One more thing to consider is audio visual equipment. If you’re going to be doing a presentation, ask the venue if they have A/V and make sure to ask the cost. Some venues include it in their fee to use the space. If they charge extra, you’ll want to know the amount ahead of time so you can decide if it’s in your budget. If you’re going to be doing a lot of events, it may be worth it to invest in your own projector and screen. Step Eleven: Shop for everything in step nine. Think through every aspect of the event AGAIN. Step Twelve: HAVE THE EVENT & ENJOY YOURSELF! The less nervous you are, the more people will be attracted to you and want to work with you in the future. Step Thirteen: FOLLOW UP! Send a very nice, hand-written card to every guest that attended. If there are any nice pictures from the photgrapher, I would print them and include them with the card. Step Fourteen: Post the pictures. Create an album on your Facebook Business Page. Upload all the pictures, add descriptions and tag people. Share the album to your personal timeline and say something like “Thank you to everyone that came out to our first annual __________________ event. We had lots of fun and look forward to doing it again next year.”. Two years ago, I created a Client Appreciation Party Checklist. Kara is joined by Kim Garst, powerful marketing strategist and author of “Will the Real You Please Stand up.” Authenticity on social media is important in any industry, but it’s especially crucial in real state because our primary goal on social media is lead generation. Think of how you would interact talking with people at a party. You’d never start a real life conversation by mentioning the 20% off promotion on your website; you’d find something you both have in common to talk about. That’s how social media conversations should be, too. Business comes later – relationship first. This is why posting pictures of your food works. Many people resist this blurring of the lines of business and personal life, but we have to be relatable. Kara and Kim discuss how to handle a branding mistake with course correction when you’ve realized one of your posts doesn’t align with your values. The truth is, people love it when we “own our stuff” because they feel connected to us. It’s relatable; everyone makes mistakes. Speaking of connections, Kim says the term “community” is overused and misunderstood. Community isn’t people connecting with you as the leader, but people connecting with each other. Back to social media: one mistake real estate agents make is lack of strategy. You have to have an actual social media plan. The goal is to move people back to your site so they are on your turf and can give you their email address. In the social space we’re fighting for attention constantly. So, when you move to a place where you’re giving them value through email – that’s a one-on-one experience – instead of having all of those competing messages on social media. Kim recommends Click Funnels and Lead Pages as great email-list-building resources which both have pre-formatted pages. Remember, you can outsource some aspects of social media, but it shouldn’t be handed over completely. Don’t turn over that role of messaging to someone who may not understand your brand. Blogging, vlogging, social media, podcasting, etc. Learn why you should you have your own personal website in addition to your website through your brokerage. Kara and Christy explain exactly how to go about getting your own and the sweet spot for how much to spend to get the mobile accessibility you need, but not the extra bells and whistles you don’t need. Blogs should contain a minimum of 300 words so google will recognize it as new content. 2000 word blogs, long form content can really help your SEO, too. Think of your blog as an advice column. If you don’t feel confident in your own writing abilities, don’t let that stop your from blogging. Honestly, you’re not alone. Many bloggers hire a a copy editor from a freelance website or they can even commission high-quality content from their network of friends, family and colleagues. Christy reminds us that everyone knows and English major. Vlogs can be used in addition to blogging or they can stand alone. Facebook Live and Instagram Live are great platforms for vlogging. Then you can download your video and also upload it to your Youtube channel. One aspect of video creation that tends to concern people is thinking that they don’t look polished enough. Please don’t let that hold you back. Your authenticity is actually a strength in making connections. Please can see what it’s really like to work with you in real life. This is so much more effective than a staged broadcast journalism production. Instagram Television (IGTV) is a really undersaturated video platform. “Digging in to something like that and being one of the first ones in your market who is out their producing content – people want to watch and you really have an opportunity right now to build in a pretty new platform and that’s a really cool thing.” Are you interested in the future of Facebook amid all of the recent legal and privacy issues? With all of this Kara explains that everyone wants to learn about lead generation but we sometimes procrastinates starting the very thing that will help us with leads. She says this happens to her sometimes, too. She thinks it’s going to be difficult, but once she dives in and immerses herself in learning the new material, she’s always so happy she did. It either pays off for her business or she realizes that it may not be for her, but at least she found out for herself and it wasn’t ever as intimated as she thought it would be. Kristy is an expert on time saving and cost-effective apps that help agents. We are so excited to share our discussion with you today! Folio is a great app to manage transactions and reminders, especially for your buyers. G-Board is a keyboard app for iPhone users that lets you swipe instead of type (a feature that android users already have) and gives you options for sending someone google maps and send a gift or pay someone right from the text composition platform. Boomerang lets you manage your e-mail communication in several ways. You can schedule e-mails to go out at a certain time. Kristy uses this when she is writing emails late at night, but she doesn’t want them to go out until the morning. If you send a message to someone and they don’t open it within a certain amount of time, Boomerang will move that message back up to the top of their inbox until they open it and it will notify you all along the way. This was a game changer when we were in a short sale market, but even now it’s super helpful. For lead generation two great apps are Five Street is a great app to manage transactions and reminders, especially for your buyers. 5 Street and Open Home Pro. Canva lets you create flyers, post cards, presentations and signatures. There are great templates and you can use either the desktop or app version. Hootsuite and Buffer are just amazing for scheduling social media posts. You should still log in daily and engage, but batching the posts is a game changer! Did you know that this app will you can take a picture of a house key and make it for you? Another great app for buyers is Centriq. It sends push notifications and reminders for the home buying process so your clients can stay organized and you don’t need to hire an assistant to do it! If you would like to create some beautiful photos of a staged home, but your seller cannot afford to actually stage their space you should use Box Brownie.
